Q. I need to have my invoices reprinted and the minimum order quantity means that there is a significant cost. Can Diamond Discovery invoice format be changed to be the same as mine?
A. Diamond Discovery has an inbuilt stationery design feature, which enables you to change the Invoice layout, change fonts and colours and even import your company logo. This is then stored within the Diamond Discovery data, which enables you to print a professional looking document on plain paper. This facility also applies to Credit Notes and if you use the Order Processing modules, can also be used to design Order Acknowledgements and Delivery Notes.
Q. I send out over 100 statements to customers each month. This can take a long time. Each statement has to be printed and folded so that the address shows through the window envelope. Can Diamond Discovery cut down the time it takes to complete this process each month?
A. Recent research has been done to calculate the cost to a business of producing statements. You may be staggered to know that it is estimated at £1 per statement. That’s when you take the labour element and the cost of postage into account. Diamond Discovery allows you to enter your customers’ e-mail addresses, so that statements can be automatically e-mailed from within the software. The time saved is amazing, just a few mouse clicks and the job is done.
Q. My suppliers’ prices now seem to change every month. Changing the prices on the stock file takes so much time. How can this be made easier?
A. There is a fantastic feature in Diamond Discovery, which allows the stock file to be updated by the information contained in an external file. Many suppliers now publish prices in the form of a spreadsheet. Diamond Discovery allows you to select the information on the spreadsheet and import it into your stock file, thereby updating cost and selling prices automatically.
Q. I sell a range of wholesale products to various industries. I need to see each month, which products my customers are purchasing, and also what margin I am making on each product.
A. Diamond Discovery provides a comprehensive
sales analysis feature which will produce Sales reports; either by Customer by Product, and also Product by Customer. Both Reports can show the calculated margin between cost and selling price.
Q. We have both cash and credit customers who we need to serve at our trade counter. Is there a way that I can have different prices for my trade customers?
A. You can use the special price facility in the stock file to set up to 10 different prices for each product. Each price is identified by a code 1 to 10 which can then be assigned to a customers account in the Sales Ledger. If you have just one Sales Ledger account called ‘Cash Sales’, then that can be assigned the price code for all Cash customers.
